Job Summary

The Payroll & Benefits Specialist is responsible for the accurate and timely processing of payroll and benefits administration for full-time, contract, and temporary employees across multiple Canadian provinces and U.S. states for multiple business entities. This role is hands-on ensuring payroll and benefits are processed accurately, and in compliance with applicable legislation and company policies. The position reports to the Payroll & Benefits Manager and works closely with Finance and Human Resources. This role requires strong attention to detail, the ability to manage sensitive data with confidentiality, strong payroll systems knowledge, and the ability to work independently to meet payroll deadlines in a multi-entity, cross-border environment. This role is hybrid, with the requirement to report to the Edmonton office as needed.

Job Responsibilities

  • Process and administer full cycle payroll for full-time, contract, and temporary employees across multiple Canadian provinces and U.S. states using ADP or similar enterprise payroll systems.

  • Ensure payroll data is complete, accurate, and compliant with applicable Canadian and U.S. payroll legislation.

  • Process employee payroll transactions including new hires, terminations, leaves of absence, returns to work, pay changes, bonuses, etc.

  • Review and validate time and attendance data, payroll inputs, and system reports prior to payroll submission.

  • Prepare and process payroll-related remittances, deductions, and statutory payments to government agencies and third-party providers.

  • Support payroll reconciliations, corrections, and audits by reviewing registers and identifying discrepancies.

  • Support with payroll year-end activities, including T4s, T4As, RL-1s, W-2s, and other statutory reporting and filings.

  • Provide employee support related to payroll inquiries, including pay, deductions, and tax-related questions.

  • Ensure compliance with Canadian federal and provincial payroll legislation, U.S. federal and state payroll requirements, and applicable legislations. 

  • Prepare and submit payroll and benefits remittances to government agencies and third-party providers.

  • Assist Finance with payroll related GL reconciliations, journal entries, and vacation/ accrual reporting.

  • Support benefits administration activities as required, including enrollments, changes, terminations, and data updates in payroll and provider systems.

  • Assist with reconciliation of benefits invoices and remittances when required.

  • Maintain accurate payroll and benefits records in ADP and related systems.

  • Support the Payroll & Benefits Manager and Human Resources Manager with payroll related reporting, data requests, and ad hoc support as needed.

  • Participate in payroll process improvements, system updates, and related initiatives.

  • Perform other payroll-related duties as assigned.

Required Skills and Qualifications:

  • Education in Payroll, Human Resources, Accounting, or a related field (or equivalent payroll experience).

  • Minimum 3-5 years’ hands-on payroll experience, preferably in a multi-entity, interprovincial Canadian and U.S. multi-state environment.

  • Strong knowledge of Canadian payroll legislation and compliance requirements, including federal and provincial regulations, and some working knowledge of U.S. federal and state payroll requirements is an asset

  • Demonstrated experience processing payroll using ADP or similar enterprise payroll systems.

  • Experience supporting payroll year-end activities for Canada and the U.S., including statutory reporting, reconciliations, and filings (e.g., T4s, T4As, RL-1s, W-2s).

  • Payroll Compliance Practitioner (PCP) certification or working toward a PCP is preferred.

  • High level of accuracy, confidentiality, and attention to detail in a deadline-driven payroll environment.

  • Ability to work independently, strong analytical, problem-solving, and communication skills.

  • Proficiency in Microsoft Excel and other Microsoft Office applications.
